You do not have to stay with an accountant simply because they have always handled your books or know your history. Businesses change, and the support that worked at one stage may no longer provide what you need now.

How Changing Accountants Works

The exact handover varies according to your business, current arrangements and the work already in progress. In most cases, it follows five straightforward stages.

Talk to a prospective new accountant

Start with a private conversation about your business, the support you receive now and what you want to improve. The new accountant should explain their services and fees clearly before you make a decision.

Check your current agreement

Review your engagement letter for any notice period, outstanding fees or arrangements for work already underway. You can change before your financial year end, but timing may affect which accountant completes a particular return or set of accounts.

Confirm the appointment

Once you decide to proceed, you will normally sign a new engagement letter and complete the identification, anti-money-laundering and authority checks required before work begins.

Professional clearance and records transfer

With your permission, the new accountant normally contacts the previous accountant. They ask whether there is any professional reason they should not accept the appointment and request the information needed to continue the work. This is commonly known as professional clearance.

Set up and begin the new relationship

Your new accountant reviews the information received, confirms responsibilities and deadlines, and helps arrange access to relevant bookkeeping software and tax records. Any gaps, urgent deadlines or historic concerns can then be prioritised.

What Will You Need to Do?

Most clients only need to complete a small number of actions. You will usually be asked to:

  • Confirm that you want to appoint the new accountant.

  • End your current appointment in line with your engagement terms.

  • Give permission for the two firms to communicate and transfer relevant information.

  • Complete identification, anti-money-laundering and authority requirements.

  • Provide any records, access details or background information that the previous accountant does not hold.

  • Settle or resolve legitimate outstanding fees and clarify any unfinished work.

What If the Change Is Not Completely Straightforward?

What if my accountant is slow to respond?

Tell the new accountant about any deadlines or urgent work at the start. They can follow up on the handover and identify information that may be available from you, your software or official records. A slow response can delay parts of the process, but it does not necessarily prevent you from appointing someone new.

What if my accountant refuses to send my files?

Your business records and an accountant’s own working papers are not always the same thing, and the position can depend on the documents, your agreement and any unpaid fees. Ask for the reason in writing and let the new accountant help identify what is missing and the most appropriate next step.

Do I still have to pay my previous accountant?

Changing accountants does not cancel fees legitimately due for work already completed. Check your engagement letter, request a final statement and clarify any disputed charges promptly. Your new accountant’s fees are separate from amounts owed to the previous firm.

Can I change accountants before my year end?

Yes. You do not generally have to wait for your financial year end. However, it is important to agree who will complete work already underway and ensure records are transferred before important filing or payment deadlines.

Can a new accountant correct previous mistakes?

A new accountant can review concerns and advise whether a return, accounts or other submission can or should be corrected. The options and deadlines depend on what was filed, when it was filed and the nature of the issue. Additional investigation or correction work may carry a separate fee, which should be agreed before work begins.

Will changing accountants trigger an HMRC investigation?

Changing accountant does not by itself mean HMRC will investigate your business. As with any business, HMRC may make checks for a range of reasons. If you are worried about an existing error or enquiry, tell the prospective new accountant before the handover so they can advise on the situation.

How long does changing accountants take?

There is no single timescale. A straightforward handover can progress quickly once authorisation is in place, while delays can arise from missing records, unfinished work, outstanding fees or slow responses. Start early if a filing deadline is approaching.

Do I have to tell my accountant why I am leaving?

You can give constructive feedback if you want to, but you do not need to produce a detailed justification. A clear written notice confirming your decision, the effective date and authority to communicate with the new accountant is usually the most practical approach.
